About the Role
The Sales Administrator will play a critical support role within the sales team, helping streamline operations and improve overall efficiency. Key responsibilities include maintaining and updating contact databases, assisting in the creation of sales proposals and client-facing documents, and ensuring the accuracy and progress of opportunities within the sales pipeline. This role requires strong attention to detail, organizational skills, and a collaborative mindset to enable the sales team to focus on driving revenue and client relationships. The ideal candidate will be proactive, tech-savvy, and comfortable working in a fast-paced, dynamic environment.
What You’ll Do
1. Maintain and Update CRM Records
- Ensure all contact, company, and deal records are accurately maintained in HubSpot to reflect real-time pipeline status and sales activities.
2. Build and Manage HubSpot Sequences for Prospecting
- Support the sales team by creating, customizing, and optimizing email sequences and task workflows in HubSpot to improve outreach efficiency and engagement.
3. Assist with Proposal Creation and Document Management
- Prepare and manage sales proposals, agreements, and other client-facing documents using PandaDoc and Google Workspace, ensuring accuracy, consistency, timely delivery, and brand alignment.
4. Keep Sales Docs Organized and Up to Date
- Regularly update internal sales documentation, maintain a structured Google Drive folder system, and ensure that training materials in Trainual reflect current processes and tools.
5. Track Tasks and Deal Progress (Asana & Monday.com)
- Use Asana and Monday.com to assign and follow up on tasks, manage timelines, and maintain visibility of the Sales team.
6. Coordinate Meetings and Facilitate Internal Communication
- Schedule and manage team meetings and client calls while supporting real-time internal communication across departments using Slack.
7. Generate Sales Reports and Maintain Data Hygiene
- Build and distribute regular reports on sales performance and pipeline status.
- Audit CRM data for accuracy, remove duplicates, and ensure clean, actionable prospect and client lists.
What You’ll Bring
- 1–2 years of experience in a sales support, sales operations, or administrative role (preferably in a B2B or SaaS environment)
- Proficiency with CRM platforms, especially HubSpot (experience with sequences, contact management, and reporting preferred)
- Hands-on experience with productivity and collaboration tools, including G Suite (Docs, Sheets, Drive), Slack, and Google Calendar
- Familiarity with project/task management platforms, such as Asana and/or Monday.com
- Working knowledge of document management tools, especially PandaDoc or similar platforms used for proposals and contracts
- Experience organizing and maintaining digital assets and SOPs, ideally with Google Drive and Trainual
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks and priorities simultaneously
- Excellent written and verbal communication skills, especially when coordinating across teams
- Self-starter with a proactive mindset, comfortable working both independently and collaboratively in a fast-paced environment
