About the Role

The Sales Operations Specialist is a hybrid role that blends traditional sales operations with strategic sales enablement and intelligence gathering. You’ll be central to driving the efficiency, clarity, and momentum of the sales process while also helping uncover new revenue opportunities.
In addition to supporting the sales team with process execution and CRM hygiene, this role will proactively identify upsell/cross-sell opportunities, assist in reviewing client contracts (NDAs, MSAs, SOWs, RFPs), and leverage AI tools like ChatGPT to develop client personas, streamline document creation, and enhance personalization in sales efforts.

What You’ll Do:

  1. Maintain & Optimize CRM Records (HubSpot). Ensure all deals, company, and contact records are updated and actionable. Identify deal bottlenecks, flag stalled opportunities, and track renewal dates and contract statuses
  2. Build Smart Outreach Sequences (HubSpot)Create, test, and iterate automated sequences for lead nurturing, inbound follow-up, and upsell campaigns. Use insights from HubSpot and client personas to personalize content.
  3. Pipeline Insights & Opportunity IdentificationUse data, engagement trends, and AI-powered tools (e.g., ChatGPT) to build client profiles, segment accounts, and flag upsell/cross-sell opportunities based on service gaps, industry triggers, or renewal timelines.
  4. Client Document Review & TrackingSupport Sales and Client Experience teams by reviewing and managing the flow of NDAs, MSAs, SOWs, and RFPs. Track statuses, redlines, and renewal dates, and coordinate with Legal or leadership when escalation is needed
  5. Sales Proposal and RFP SupportBuild accurate, brand-aligned proposals, assist in RFP responses, and maintain a centralized library of reusable content, bios, and templates for faster turnaround
  6. Generate Client & Sales Intelligence Reports. Compile and present insights on pipeline health, opportunity stages, outreach performance, and account growth potential. Provide actionable insights in collaboration with Sales Leadership.
  7. Leverage AI for Efficiency & Insight. Use ChatGPT to build out structured client personas, assist in email drafting, summarize sales calls, and create customized sales collateral and battlecards.
  8. Sales Process Documentation & Resource ManagementMaintain and update sales SOPs, proposal templates, and onboarding materials in Trainual and Google Drive.
  9. Task Tracking and Coordination. Keep cross-functional tasks on track. Align Sales with Client Experience and Marketing using Asana/Monday.com to drive accountability and visibility.
  10. Internal Communications & Scheduling (Slack, Google Calendar) Coordinate internal sales meetings, support deal reviews, and facilitate communications across teams to reduce friction and accelerate time-to-close.

What You’ll Bring

  • 2+ years in Sales Operations, Sales Enablement, or similar roles
  • Comfortable reviewing contracts and managing document workflows
  • Strong experience with HubSpot, Google Workspace, and automation tools
  • Bonus: Familiarity with PandaDoc, Trainual, Slack, Monday.com
  • Proactive, strategic thinker who’s not afraid to challenge inefficiency
  • Highly organized and able to juggle multiple deals and deadlines
  • Strong written communication and business writing skills
  • Able to balance detail orientation with big-picture thinking
