About the Role
The Marketing Coordinator is responsible for planning, coordinating, and executing both internal and external events from start to finish including logistics, vendor coordination, budgeting, and on-site facilitation. This role also supports the marketing team with day-to-day operations such as content creation and posting, campaign coordination, and general project support. The ideal candidate is a highly organized multitasker with strong communication skills, creative initiative, and a passion for delivering seamless events and impactful marketing campaigns that elevate the brand experience. A high-speed production support role responsible for executing design and content tasks from established templates. This role focuses on turning pre-defined directions into finished marketing assets quickly, accurately, and consistently. This position does not own strategy,
campaign planning, or creative direction.

This is a hybrid position based in the Dallas–Fort Worth (DFW) area. Candidates must be located in DFW and able to travel to and attend in-person events, including some evenings and weekends.


Core Responsibilities

  • Plan, execute, and attend events, managing all logistics and on-site coordination
  • Manage event communications including invitations, promotional materials, and post-event follow-up
  • Support campaign coordination, performance tracking, and project documentation
  • Draft, edit, and post content across social media, blogs, and newsletters
  • Collaborate with internal teams (sales, design, leadership) to ensure timely and aligned marketing initiatives
  • Maintain marketing records, vendor contracts, and event documentation
  • Monitor event success and campaign results, providing actionable reporting
 

Primary responsibilities: events & field marketing (about 60%)

Planning & approval

  • Research and source events that match RSI Security's target verticals, and maintain the annual event calendar
  • Prepare each event's intake for the go/no-go review: score, estimated cost, vertical fit, staffing plan, expected meetings. Submit it through the Monday Marketing Events board for leadership sign-off.
  • Build and track each event's budget against the approved plan, and reconcile actuals with finance after the event
  • Negotiate and manage vendor contracts, sponsorship packages, registrations, and payments

Logistics

  • Manage booth and space reservations, exhibitor deadlines, shipping, AV, furniture, and lead-scanning rentals
  • Order booth materials, collateral, and giveaways from approved brand templates
  • Build staffing schedules and send pre-event briefing packets: talking points, meeting schedule, and compliance rules
  • Track every deliverable on an event checklist, from order through delivery and return shipping

Pre-event promotion

  • Coordinate booking meetings in advance with sales. Events over $10K require 10+ booked meetings.
  • Build pre-event emails and social posts from templates, plus landing or registration pages where needed
  • Manage client dinners: venue, menu, and invitations to named target accounts, with RSVP tracking

On site

  • Lead booth setup and teardown, keep materials stocked, and capture leads
  • Serve as the on-site point of contact for vendors, venue, and RSI Security staff

After the event

  • Create the HubSpot campaign before each event, and upload lead lists within 48 hours afterward
  • Launch the 14-day follow-up sequence from templates
  • Run the debrief and the 90-day ROI review (pipeline and cost), and report results to marketing leadership

Webinars & speaking

  • Coordinate logistics for the quarterly webinars and the 1GPA hosted webinars: platform setup, speaker prep, registration, reminders, and recordings
  • Track calls for speakers and panel opportunities, and prepare submissions for leadership review

Compliance for events

  • Follow the co-attendance rules whenever RSI Security and its sister company attend the same event:
    • separate registrations, booths, signage, and lead capture
    • no joint dinners or panels
    • sign-off from the Joint Compliance Committee (JCC) beforehand
  • Keep the Marketing Team Calendar accurate. Report suspicious calendar invites to IT; don't open them.

Secondary responsibilities: marketing support (about 40%)

Design production

  • Produce fast-turn graphics, one-pagers, and simple PDFs from established brand templates in Adobe Creative Suite (Photoshop, Illustrator, InDesign)
  • Make quick edits (text, images, resizing, formatting), with a strong focus on speed, accuracy, and brand consistency

Copywriting (execution support only)

  • Draft basic blog, LinkedIn, and email copy from provided outlines
  • Repurpose existing content into shorter formats: event recaps, webinar clips, email sections
  • Help draft the weekly Team Post Pack for team members' LinkedIn profiles
  • Deliver clean first drafts for review and final approval by marketing leadership

HubSpot execution (under direction)

  • Build and schedule approved emails, including the monthly Intelligence Brief and the Weekly Threat Report
  • Schedule approved social posts, build lists and forms from specifications, and apply UTM tracking

Asset management

  • Keep creative files, templates, event kits, and asset libraries organized, with consistent naming and versioning
  • Maintain a reusable event kit: booth graphics, standard collateral, and shipping and packing lists

To ensure clarity across teams, this role is intended to support executional workload only. It
does not include ownership of marketing strategy, campaign planning, brand direction, or
client-facing decision-making. This adjustment is being made to redistribute repetitive
production work within RSIS due to current team structure. All output from this role will
continue to be reviewed and approved by marketing leadership prior to publication. As the
organization evolves and additional leadership roles are added, responsibilities may be
revisited and rebalanced across the team.
